Streamlining Workflow and Collaboration

PLAIO’s robust task management system is designed to optimize workflow and foster collaboration across teams. Whether you're assigning follow-ups on forecast changes, tracking production actions, or managing purchasing decisions, PLAIO makes it easy to keep tasks visible, actionable, and in context.

Task Dashboard Overview

You can access the Task Dashboard from the left-hand navigation menu. It provides a complete overview of all tasks, including those:

  • Assigned to you

  • Created by you

  • Assigned to other team members

From the Task Dashboard, you can:

  • View and manage tasks – Click any task to open a pop-up window where you can:

    • Update details

    • Change status

    • Add or review comments

  • Open related worksheets – In the “Task Information” tab, click the navigation icon to jump directly to the related worksheet. If a specific line is assigned, it will be highlighted.

Task Overview from Worksheets

PLAIO uniquely embeds tasks directly within its worksheets, allowing you to manage work in context. Tasks are visible in both the:

  • Data Section

  • Detail Section

This enables you to review, complete, or delegate tasks without switching views.

All tasks regardless of where they were created mare synced and visible in the Task Dashboard for full visibility.

View and Manage Tasks

When you click on a task you get a pop-up window where you can view and manage the task.

  • Task detail: Here you can change the title, status, and due date, put a description, and assign the task

  • Comments: You can add new and see previous ones.

  • Task information: Here you can see when the task was created and last updated, and by whom

    • Open Related worksheet: click on the navigation icon to go to the related worksheet, and, if assigned, highlights the specific line.

Right click options

Right-clicking on a task allows you to:

  • Task Detail: here you can view and manage the task

  • Open related worksheet: Navigates you to the related worksheet and, if assigned, highlights the specific line.

  • Complete task/Reopen task: Here you can complete open tasks or reopen closed tasks.

  • Delete Task

  • Create new task

  • Copy: Here you can copy the selected cell

    • Keyboard Shortcut: Ctrl+C (Cmd+C on macOS)

  • Copy with headers: Here you copy the selected cell and the title of its column

Create new task

You can create a new task using multiple methods, such as:

  1. Action button → "create new task"

  2. Right-click on a line and select "Create task"

  3. Keyboard Shortcut: ALT+T (option+T on macOS) initiates task creation.

When creating a task, a pop-up window appears. You must enter a Title, and can optionally add:

  • Due date

  • Description

  • Assigned user

To finalize the task, click SAVE.

Note: After creation, you can update any task detail. You will automatically be set as the task owner and creation date will be recorded.

Complete Task

There are two ways to complete a task:

  1. Click the task, open the pop-up, and set the status to COMPLETE

  2. Right-click on the task and select Complete Task

Completed tasks will move to Closed status and will be hidden from the main dashboard by default.

Delete Task

You can delete a task using:

  • Right-clickDelete Task

  • Action Button (within the task pop-up) → Delete Task

Deleted tasks are removed from all dashboards and views.

Managing tasks in PLAIO ensures that nothing falls through the cracks. With everything linked to the right line, worksheet, or dashboard, you’ll always know what needs to be done and where to do it. Make task tracking part of your routine to stay ahead with confidence.
